Cards of Hope
Cards of Hope connects children creating handmade Christmas cards with people who would appreciate receiving a little kindness and connection at Christmas.
If you request a card, we may collect your name, postal address and contact details so that we can arrange for a card to reach you.
If someone nominates another person, we ask them to confirm that the recipient has agreed to their name and address being shared with us.
Recipients’ home addresses and contact details will not be provided to the children, schools or community groups creating the cards.
Cards will be collected and matched with recipients by Ember and Blossom Community Interest Company using a reference system.
Once the project has finished and personal information is no longer required, we will securely delete it.
We may keep anonymous information, such as the number of cards delivered and the areas reached, to measure and report the impact of the project.
Christmas Day Dinner and community events
If you register for our Christmas Day Dinner or another Ember & Blossom event, we may collect information needed to organise your attendance and communicate with you about the event.
Depending on the activity, this could include your name, contact details, number of people attending and information genuinely required to help us deliver the event safely.
We will only ask for information that is relevant to the activity.
Workshops and activities
When you or your child takes part in an Ember & Blossom workshop or activity, we may collect information needed to manage bookings, attendance, communication and safe delivery of the activity.
Where an activity involves children, we will take additional care with their personal information.
Photographs and video
We sometimes photograph or film our workshops, projects and community events to document our work and demonstrate its impact.
Where consent is the appropriate basis, we will ask for it before using identifiable photographs or video for purposes such as publicity, social media, our website, funding reports or media.
Attending an Ember & Blossom event does not automatically mean that you have agreed to identifiable photographs or video being used for promotional purposes.
Where we rely on consent, you can withdraw that consent by contacting us.
Funding and impact reporting
Funders and supporters often ask us to demonstrate the difference our projects make.
Where possible, we use anonymous information such as:
- Number of people participating
- Number of workshops delivered
- Number of cards distributed
- Broad areas reached
- Age ranges or other non-identifying statistics where appropriate
- Anonymous feedback
We will not include information that identifies you in a public impact report unless there is an appropriate lawful basis for doing so.
Our lawful bases for using information

Depending on the particular activity and reason for processing information, we may rely on:
Consent – where you have freely agreed to us using your information for a particular purpose.
Contract – where processing information is necessary to provide something you have booked or agreed with us.
Legal obligation – where we need to use or retain information because the law requires us to.
Legitimate interests – where using information is reasonably necessary for the operation of Ember and Blossom or our community activities and those interests are not overridden by your rights and interests.
Where we process special category information, we will also identify an appropriate additional condition under data protection law.

We do not sell personal information.
Where necessary, information may be shared with trusted organisations or service providers that help us operate our activities, for example:
- IT and online service providers
- Email and cloud storage providers
- Booking or form providers
- Postal or delivery services
- Professional advisers
- Funders or regulatory bodies where appropriate
- Authorities or safeguarding services where we are legally required or it is necessary to protect someone
We only share personal information when there is an appropriate reason to do so.
Some of the technology providers we use may process information outside the UK. Where this happens, we will take appropriate steps to ensure the information receives the protections required by data protection law.
How long do we keep information?
We do not want to keep personal information forever.
Different information needs to be kept for different lengths of time depending on why it was collected.
We will keep information only for as long as reasonably necessary for the purpose for which it was collected, including any legal, safeguarding, insurance, accounting or regulatory requirements.
Information collected solely to administer a time-limited project such as Cards of Hope will be deleted when it is no longer required.
Anonymous statistics that cannot identify individuals may be kept for longer so that we can demonstrate the long-term impact of our work.
